How to set up automatic and scheduled reports
Open the report calendar, add a schedule for a client, and choose monthly or weekly and the day it goes out. On that day Clientdeck pulls the numbers, writes the report and, if auto send is on, emails it to your client. Leave auto send off and you get a ready draft to check first.
Before you start
Connect Meta and link the client to their ad account. Scheduled reports run from Meta data. For auto send, the client also needs an email address on file. Clientdeck warns you on the schedule if it's missing.
1. Add a schedule
Open the report calendar and choose New schedule. Or click a day on the calendar to start with that day filled in. Pick the client, name the report and choose its style.
2. Choose how often and what it covers
Pick Every month or Every week. Monthly reports can cover the previous calendar month, the last 7 or 30 days, the last 3, 6 or 12 months, or a custom range of last month. Weekly reports cover the last 7 days or the last full week, Monday to Sunday.
3. Pick the send day and time
For monthly, choose a day from 1 to 28 so every month has it. For weekly, choose the day of the week. Then pick a time. Times use the timezone shown at the top of the calendar, and you can change it there.
4. Choose how it's delivered
Review first saves a draft and emails you, so you can check it and send it yourself. Auto send emails it straight to your client and copies you. Auto sent reports are published, so the link works. The calendar marks each schedule as Review first or Auto sends to client.
Test it and keep control
Choose Send test to me to build one now and email a copy to yourself. Run now builds a report straight away. Pause stops a schedule without deleting it, and Resume starts it again. Each schedule shows its next three send dates.
When there is no data
If a client's ads delivered nothing in the period, for example because they were switched off, Clientdeck doesn't build an empty report. On an auto send schedule, your client gets a short, friendly check in instead, and you're emailed about it. A schedule set to Review first never sends your client anything in this case. You're told either way.
Turn the check in off
To skip it for every client, go to Settings, then Branding and white label, then Email sending. Under When a report has no data, choose Send nothing. To stop all automatic emails for one client, switch off Automatic emails for them on the same page.
If a run fails
You get an email saying what went wrong. The schedule stays on and tries again next time.
