The client loop
How to get your client to sign off a report
Publish the report, send your client the link, and they can read it, comment and approve it right on the page. No login and no email chain. You get a dated record of who approved and when, plus an email the moment they do.
1. Publish the report
Choose Publish to portal. A draft is private, so your client can't see, comment on or approve it until it's published.
2. Send the link
You can email the report from Clientdeck, or open the client's page, find Portal link and choose Copy link. The email button can say View the report or Approve, straight to sign off. Set your default in Settings, under Email sending. Want it private? Choose Protect with a passcode and your client enters a code to get in.
3. What your client sees
Their report, in their colour, with your logo next to theirs if you've switched that on. At the bottom, a box asks “Happy with this report?” with an Approve this report button and an optional name field. They never create an account.
4. They can talk back
Under the report there's a box for questions or feedback. Your client leaves a comment and you reply in the same thread. If you have their email on file, they're emailed when you reply.
5. They approve in one tap
When they choose Approve this report, the box turns into a signed off record: the report, the period, who approved it and the date. The date uses your timezone, so a Monday morning approval in New Zealand reads as Monday.
6. You're told straight away
You get an email the first time a client approves, and another for each comment. Each one has a button that opens the report in Clientdeck. You can turn these emails off in Settings, under Notifications.
Try it as the client
Open the sample report in your account and approve it yourself. You won't get an email about your own practice approval.
Why it matters
A report your client reads, replies to and approves is a report that did its job. Clients who engage with the work are the ones who tend to stay. And the dated record settles the “did you ever send that?” question for good.
Next: put your brand on it
Make every report and email look like it came from you. Branding and white label
